Privacy Policy
Voltz Fillings ("we", "us") respects your privacy. This policy explains what information we collect through our website, mobile app and advisory channels, why we need it, and the choices you have.
Last updated: 24 October 2026 · Voltz Fillings
1. Information we collect
- Contact details you submit: name, phone number, email address and city.
- Business details needed to quote or file: entity type, GSTIN, PAN, turnover, incorporation data, and answers to our service questionnaires.
- Documents you upload for a filing: certificates, IDs, invoices, bank and tax records.
- Account and app data: login status, application tracking, in-app notifications and upload history.
- Technical data: IP address, browser/device type, pages viewed, referral source and campaign identifiers.
- Communication records: calls, WhatsApp or email threads you start with our team.
2. How we use your information
- To prepare, quote for and file your registration, tax, compliance or legal application.
- To send status updates, document requests and statutory deadline reminders through your dashboard and mobile app.
- To verify identity and eligibility where a regulator or authority requires it.
- To process payments and issue invoices or receipts.
- To answer enquiries, handle refunds and resolve grievances.
- To improve our services, measure website performance and prevent abuse, spam and fraud.
- To send marketing updates only where you have asked for them — you can opt out at any time.
3. Legal basis and consent
We process personal information on the basis of your consent, the performance of the service agreement between us, and our legitimate business interest in operating securely and lawfully. Where a law such as the Information Technology Act, 2000 and the SPDI Rules, the GST Act, the Income-tax Act or the Companies Act, 2013 requires us to collect or retain specific data, that processing is a legal obligation.
4. How we share information
We do not sell your data. We share it only where needed to deliver your filing or comply with law:
- Government and regulatory portals and authorities (MCA, GSTN, Income Tax Department, IP India, state departments) as part of the filing you engage us for.
- Our licensed professionals — chartered accountants, company secretaries, advocates and trademark agents — who work on your file.
- Payment gateways we use to collect fees, which process card, UPI and net-banking details directly under their own policies.
- Cloud hosting, email, SMS and analytics providers that store or transmit data on our instructions under confidentiality obligations.
- Courts, regulators or law enforcement where disclosure is legally required.
5. Cookies and tracking
We use essential cookies to keep you signed in and to secure forms, plus analytics and advertising tags (including Meta pixel and Google services) to understand which pages and services interest visitors. Campaign identifiers may be stored in your browser and matched to a lead you submit so we can measure ad performance. You can block or delete cookies in your browser settings; some parts of the site will not work if you disable essential cookies.
6. Data security
Data travels over HTTPS, documents are stored in access-restricted storage, and access is limited to team members assigned to your file. We review our safeguards regularly. No method of transmission or storage is perfectly secure, so we ask you to keep your account credentials confidential.
7. How long we keep data
We keep engagement and document records for as long as needed to support your filings, defend or pursue claims, and meet statutory retention periods — commonly eight years for financial and tax records in India. Enquiries that never became engagements are retained for a shorter period for follow-up and spam prevention, then deleted or anonymised.
8. Your rights
- Request a copy of the personal data we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Withdraw consent for marketing or non-essential processing at any time.
- Request deletion of your data where we have no legal obligation to retain it.
- Nominate another person to respond to a data request in defined circumstances.
- Grievance redressal: write to the contact listed below. We acknowledge within 48 hours and resolve within 15 days as contemplated by the SPDI Rules.
9. Children
Our services are for businesses and adults. We do not knowingly collect information from anyone under 18. If you believe a child has shared data with us, contact us and we will delete it.
10. Third-party links
Our pages and news articles may link to external websites. We are not responsible for their content or privacy practices; please read their policies.
11. Mobile app
Our Android app asks for camera or file access only when you choose to photograph or upload a document for a filing. Notifications about your applications and deadlines are delivered inside the app and are tied to the account you sign in to.
12. Changes to this policy
We may update this policy as our services or the law change. The revision date at the top of the page reflects the latest version, and material changes will be highlighted on the site or by email where you have an account.
Questions or grievances
Write to our grievance redressal contact and we will acknowledge within 48 hours and resolve within 15 days.
